This policy covers SELLkeep by Fill The Night, its mobile application and web portal, and the public htmlmonitor.com website. SELLkeep helps members manage marketplace listings, shared physical inventory, fulfillment and reporting.

Information from eBay

When a member connects an eBay seller account, SELLkeep receives OAuth authorization tokens, seller identifiers and listing information. Listing information includes eBay Item ID, title, SKU when present, price and currency, quantity, listing format, status and dates, images, categories, condition, and variation details when available. Order responses can also contain buyer, delivery and payment information; SELLkeep retains selected order, order-line, financial and fulfillment facts needed for its workflows and history rather than treating every response field as application data.

eBay sign-in and seller consent take place on eBay. SELLkeep does not receive the seller's eBay password. Optional marketplace permissions require seller authorization; merely joining a SELLkeep inventory account does not grant access to every connected seller.

Information stored by SELLkeep

SELLkeep stores member account and authentication information, inventory-account membership, explicit seller access, authorization tokens and connection details, listing records, and locally entered inventory information such as Container, Item # and notes. It also retains inventory workflow statuses, audits, reconciliation history and record timestamps.

Retained order information includes provider order and line identifiers, quantities, monetary amounts with their currencies, order and payment dates, fulfillment status and available shipping deadlines. Financial history preserves selected provider amounts and payment, refund and cancellation observations. These records are not a complete accounting ledger. The financial-retention records do not store buyer identities, addresses or contact details. Listing-validation files and operational backups may retain data for troubleshooting and recovery.

Optional eBay markdown sales

Where enabled, seller access managers may separately authorize eBay Marketing access and explicitly confirm a single-listing markdown sale. SELLkeep sends the approved discount, dates, primary listing image URL and generated promotional tagline to eBay. These promotional materials may be displayed publicly by eBay. SELLkeep retains the confirmed terms, initiating member, timestamps, provider identifiers and observed promotion state to verify the result and avoid duplicate requests after uncertain responses. An authorization grant alone does not create a promotion.

Website, sessions and device information

The web server keeps operational request logs, which may include IP addresses, request paths, browser information, timestamps, and response status. The static public pages do not add analytics or advertising trackers. The authenticated web portal and OAuth connection flow use session cookies for sign-in and security. The applications retain preferences and authentication state appropriate to the platform. Listing images may be loaded from eBay's image hosts, which receive the request information needed to deliver those images.

How information is used

Information is used to authenticate members, authorize seller access, synchronize listings and orders, locate physical inventory, support fulfillment, retain provenance, produce reports and maintain the service. SELLkeep does not sell personal information.

Physical containers and locations belong to the shared inventory account. Other warehouse members may see restricted physical-slot information and record whether an object was found during an audit without receiving access to that seller's listing or order details. Seller access is granted separately.

eBay and hosting

SELLkeep communicates with eBay to provide the integration. eBay handles its own services and sign-in under its own privacy policy. Application information is processed by the infrastructure hosting SELLkeep and its backups. The public site does not introduce additional analytics or advertising services.

Retention and deletion

Application records and diagnostic files do not currently have an automatic expiry period. They are retained for operation and troubleshooting until reviewed and removed. A listing disappearing from eBay does not by itself erase local inventory or location records.

SELLkeep has an endpoint for eBay Marketplace Account Deletion notifications. Accepted, verified notifications are recorded for manual identity and deletion review; receipt alone does not automatically erase application data. The receipt stores encrypted account identifiers and limited notification metadata. Review must identify the affected account and any associated personal information, including relevant diagnostic files and backup copies. Locally owned inventory records are not indiscriminately deleted.

Security

SELLkeep uses HTTPS and server access controls to help protect information. eBay authorization tokens are kept on the server rather than exposed in the browser. No storage or transmission method can guarantee complete security.
